New-hire onboarding: day 1 to week 1

So nobody starts their first week hunting for a laptop or a buddy. Owned by People, with IT and payroll keeping their pieces honest.

description: Get a new hire set up and welcomed, from day 1 through their first week.
---

# When to use this
Someone new is starting within the next 7 days, or just walked in today.

# What good looks like
By the end of day 1 the new hire has a working laptop, the accounts they need,
a buddy who already said hi, and real intros on the calendar for the rest of the
week. Nothing feels improvised.

# The steps
1. **Three business days before start**: send the welcome email with the IT
setup link, day-1 agenda, and dress code.
2. **Assign a buddy** from the same team with at least 6 months of tenure.
3. **Kick off IT provisioning** from the role's template: laptop, SSO, the tools
   they'll actually use.
4. **Confirm payroll** has the signed I-9 and tax forms.
5. **Book the calendar**: manager 1:1 on day 1, company orientation, and three
cross-functional intros before end of week 1.

# Things to never do
- Never email credentials. Always route them through the IT portal.
- Never auto-provision admin-level access without the manager's sign-off.
- If any day-1 artifact is missing the afternoon before start, escalate to the
People ops lead, don't let it slide and hope.

What the AI agent actually does

  • Pulls the new hire's start date and role template, then works backwards from day 1.
  • Kicks off IT provisioning in the right order and posts the status in Slack.
  • Flags People ops the afternoon before start if payroll paperwork is still missing.
